Student Leave Regulation

  1. Any student can apply for leave due to contracting marriage, attending funerals, illness or any other major events as long he/she can provide declarative document as proof; pregnant students are also entitled to ask for leave and should do so in accordance with relevant University regulations.
  2. Application for leave of absence should be properly filled out, academic leave needs to be authorized by attending class professor, academic supervisor, department chair (dean of school), once the request has been approved, the original copy should be kept at the department/school office for record-keeping, the student applicant should be responsible for informing the attending class professor, student applicant should keep the second copy of the application;  leave for attending meeting/event needs to be authorized by the academic supervisor, department head, meeting/event organizer, head of  Living Guidance Section, once approved, the original should be kept by LGS, the student applicant should be responsible for informing the organizer of the meeting/event and keep the application copy; for group official leave, the request need to approved by the academic supervisor, department chair (dean of school), once the request is approved, the original of the application should be kept by the department/school and the copy kept by the student, the student should be responsible for informing the attending class professor.
  3. For academic leave, the application shall be stamp sealed by attending class professor, academic adviser, then be approved by department chair (dean of school); for leave for meeting/event, the application shall be first stamp sealed by academic supervisor, meeting/event organizer, then be approved by the head of LGS, for group leave, the application shall be stamp sealed first by academic supervisor, then by department chair (dean of school); students cannot take leave without proper authorization.
  4. Student should apply for leave prior to the date intended to be absent and provide declaration from parents or legal guardian (should the event to have happened unexpectedly and the student couldn´t have requested leave on the same day, then the student needs to fulfill the request procedure within two days (including the day of absence) with proper documentation as proof).  In the case of absence due to illness, student should provide proper clinical documentation as proof, should the seriousness of the illness prevent the student from requesting leave prior or on the day of absence, student should make request within three days to comply with procedure (post office stamp date shall be used when outside of the city), request for leave made after the deadline will not be approved.
  5.  Official leave needs to be requested prior to the date of absence and must provide declaration (or have stamped seal) from involved entity, request made after fact shall be denied.    
  6. If a student suffered loss of a family member, fell serious ill or experienced any other major incident during registration period, the student can submit declaration by parent or hospital to Student Affairs for verification and absence authorization.
  7. Any document submitted as proof for asking leave of absence, if found to have been doctored, falsified or untrue, the absence shall be count as not authorized and the student shall receive disciplinary action based on the severity of the infraction.
  8. This regulation shall be in effect after approval by Student Affairs meeting, same procedure shall apply for future revisions.

 

 

Missing an examination and scheduling for make-up examination

I.                 Student on leave of absence during examination period due to illness, please provide declaration from the school´s health center clinic or hospitals that belong to the national healthcare bureau network (limited to medical centers and regional or local hospitals) when requesting leave of absence approval; student requesting leave of absence due special circumstance (limited to illness or death of a direct family member and special incidents that prevents the student from taking the exam) must provide official documentation as proof to Student Affairs prior to the date intended to be absent.

II.               When a student falls ill or has an accident that prevents the student from requesting a leave of absence in a timely fashion, student parent or legal guardian should inform the University on the day of the incident and comply with the request procedure within three days with proper documentation.

III.             If student takes leave for official business during examination period, the leave of absence must be requested and approved in accordance with regulations and with proper documentation from the official entity.

IV.            Student who missed an exam because of leave needs to obtain stamped seal from attending class professor and authorization from the dean of academic affairs to attend make-up exam session.

V.              For missed mid-term exams, the class professor has the authority to decide on a solution.

VI.            Make-up exams for semester exams shall comply with Article 44 of the Academic Regulations.

VII.          This document shall be passed by the Academic Affairs Meeting and authorized by the president of the University to become effective.  Same procedure applies for future revisions.
